The Collaboration Tools & Process Intern is an entry-level role that supports the administration and organization of Jira and Confluence, while assisting with process adoption and communication across the organization. This role is designed as the starting point on the career path toward Process Analyst and Program Administrator. The intern will gain hands-on experience with enterprise collaboration tools, Agile processes, and organizational communications.

Confluence Administration & Knowledge Management

  • Develop and maintain page templates, navigation menus, and space structures.

  • Apply consistent taxonomy standards (naming conventions, labels, categories) to improve searchability.

  • Work with content owners to review, update, move, or archive outdated documentation.

  • Maintain a “What’s New” space/dashboard highlighting key updates.

Jira Administration Support

  • Ensure epics, stories, and tasks are linked properly to maintain data accuracy.

  • Apply consistent labels, component tags, and naming conventions.

  • Run pre-defined JQL queries and update dashboards (burn-down, backlog, SLA compliance).

  • Support regular Jira maintenance activities, including re-indexing and PII scans.

  • Create job aids and quick guides to help users follow Jira best practices.

Process Marketing & Communications

  • Develop communications materials (emails, announcements, slide decks) to support process rollouts.

  • Create visual aids (infographics, one-pagers, “before/after” diagrams) to make processes more approachable.

  • Maintain a centralized Process Updates page with clear summaries of new or changed processes.

  • Translate technical content into plain, user-friendly messaging with guidance from Analysts/Admins.

Audit & Compliance Support (Entry-Level)

  • Assist with monthly audit staff support, including organizing evidence and ensuring documentation is stored correctly.

  • Flag outdated or incomplete content for Analyst/Admin review.

Workflow & Process Improvement Support

  • Archive old Jira tickets and Confluence pages.

  • Test new Jira/Confluence workflows or configurations before rollout.

  • Help document before/after process flows during improvements.

  • Collect feedback on process rollout effectiveness via surveys or interviews.

Education (Preferred Majors):

  • Management Information Systems (MIS)
  • Computer Science or Software Engineering
  • Business Administration or Business Analytics
  • Technical Communication / Professional Writing
  • Communications / Marketing (with demonstrated interest in IT tools and processes)

Skills & Knowledge:

  • Familiarity with collaboration or project management tools (Jira, Confluence, SharePoint, etc.).
  • Strong organization and attention to detail.
  • Clear written and verbal communication skills.
  • Interest in process improvement, Agile methods, and team metrics.
  • Ability to create simple visuals and communication materials (PowerPoint, Canva, Lucidchart, etc.).

  • Collaborative communicator — comfortable working with document/process owners.

This internship provides a clear entry path into IT process and program management. Interns will gain:
