As our HR Assistant, you will be a key part of our People Team, supporting our employees in Hong Kong, Non-resident employees and contractors. You will also be helping to manage the hiring process for our global team. This is a hands-on, organised and detail focussed role, for someone who enjoys being the go-to person for getting things done.
For this role, we are looking for someone with an execution mindset and versatility.
What you will be doing:
HR Admin and General People Support ๐๏ธ
- Maintain employee records and update HR Systems
- Prepare employment letters, contracts and documentation
- Work closely with our HK Office Manager and IT Admin to ensure we have a seamless onboarding and offboarding experience
- Track onboarding tasks to ensure new joiners have a smooth start across departments
- Support employee lifecycle processes like performance management, probation etc
- Keep everything compliant and tidy
- Contribute to People projects, like improving our documentation, processes or reporting
Recruitment Support ๐ฑ
- Schedule interviews across timezones and coordinate logistics with candidates and hiring managers
- Post job adverts, manage applications and keep our ATS tidy/up to date
- Assist with drafting offer letters, contracts and onboarding documentation
- Support hiring managers with screening, interviewing and the interview process
Visa and Compliance Support ๐
- Assist with employment visa applications and renewals in for Hong Kong
- Liaise with immigration support/consultants and relevant authorities where required
- Help onboard and support non-resident team members
Ultimately, you will thrive in this role if you are organised and love getting things done. This role is all about setting others up for success and looking into the detail.
The general requirements are:
- 2-3 years experience in a People Operations, HR Coordinator or Recruitment Admin role
- Familiarity with HK Labour laws and employment visa processes
- Excellent English communication (written + spoken) - Cantonese or Mandarin is a big plus
- Confidence working with systems (HRIS, ATS, Excel and Google Workspace)
- A detail focussed and proactive working style i.e. spotting things before they become problems (and finding solutions!)
- A bonus would be experience working with IT or office operations during onboarding
