The Role

The role of Payment Operations Officer is all about embracing key responsibilities that drive our success. This includes, but isn't limited to, expertly assisting with the processing of deposits and withdrawals, as well as ensuring that internal staff and client email queries receive accurate and prompt responses. The ideal candidate will thrive under deadlines, mastering tasks with precision and attention to detail. They will recognize the vital role that Payment Operations plays in enhancing the client experience and will also lend their support to the wider finance team when needed.

Your key responsibilities will include:

  • Allocate daily manual funding methods to client accounts promptly.
  • Process withdrawals daily and notify clients upon completion.
  • Liaise with banks and third-party payment providers as needed.
  • Monitor and respond to client inquiries via Salesforce, ensuring timely and accurate communication regarding deposits and withdrawals.
  • Conduct general transaction monitoring for AML compliance.
  • Perform pre-processing checks on withdrawals for AML, fraud, and jurisdiction compliance.
  • Monitor and act on fraudulent transactions as per compliance policy.
  • Escalate AML, TF, or fraud suspicions to Team Leader and Compliance Team.
  • Submit Unusual Activity Reports (UAR) as necessary.
  • Handle confirmed or suspected card fraud promptly per compliance guidelines.
  • Uphold Pepperstone’s Terms and Conditions through name matching for third-party transactions.
  • Monitor and manage Chargeback disputes.
  • Clear internal Pepperstone inbox daily, ensuring accurate action on banking and PSP communications.
  • Maintain Salesforce inbox by clearing action items daily per SLA.
  • Respond to queries in the internal Payment Operations Slack channel promptly.
  • Address requests from the Reconciliation and Finance team daily.
  • Download and prepare daily transaction statements for reconciliation.
  • Verify correct application of all deposits and rectify errors.
  • Process cash adjustments as needed on a daily basis.
  • Promote a culture of continuous improvement within the Payments Operations Team.
  • Create and update company Knowledge Base regarding Finance processes.
  • Submit tickets for IT issues and resolve transaction issues with PSPs.
  • Verify bank statements and complete allocated tasks within the business day.

About you

  • Fluency in English is a must. Any other language is advantageous.
  • Weekly/Monthly shift rotation may be applied according to department needs
  • Qualification in Accounting, Finance, Business, or related areas of study preferred but not essential
  • Excellent people and communication skills with the ability to communicate to staff, teams & customers well
  • Ability to maintain high level of attention to detail and accuracy
  • Strong problem-solving skills and dedicated to continuous process improvements
  • Excellent time management skills and the ability to remain calm under pressure
  • Intermediary skills in Microsoft Excel
  • Desire and commitment to ongoing learning and development
