As the Office & HR Junior Specialist, you will play a dual role in ensuring seamless office operations and providing essential HR administrative support. You will contribute to an efficient and welcoming workplace environment while supporting core HR processes. Acting as a key point of contact for office administration and engagement activities this role is needed in fostering a culture that reflects IPF Digital’s values and growth mindset.
Here’s how you’ll put your skills into action:
- Office Management: Coordinate day-to-day office operations to ensure a well-organized, equipped, and welcoming environment. You’ll manage supplies, maintain documentation, and make sure the workspace runs smoothly for everyone.
- Travel Coordination: Support business travel arrangements — from handling booking queries to managing approvals and communicating travel policies — ensuring smooth, compliant, and cost-effective travel experiences for employees.
- HR Administration: Assist in preparing employee documentation, maintaining HR records in our HRIS, and supporting core HR processes. You’ll help safeguard data accuracy, legal compliance, and a seamless employee lifecycle experience.
- Employee Engagement: Help plan and deliver team-building activities, internal events, and volunteering initiatives that strengthen collaboration and nurture our inclusive culture.
- Data and Reporting: Support budgets tracking and maintenance to ensure accurate records of HR and office activities, helping the team make informed, data-driven decisions about engagement, learning, and resource use.
- Communication and language skills: Communicate confidently and clearly in both Polish and English, adapting your language and style to suit diverse audiences.
We also know that experience counts – and we believe that the following can support your success:
- 1-2 years of experience in HR support, office coordination, or administration.
- Good understanding of HR processes, employee lifecycle, and office management practices.
- Strong organisational skills with the ability to prioritise and manage multiple tasks accurately.
- Confident user of MS Office (Outlook, Excel, PowerPoint, SharePoint) and familiar with HR systems.

Proactive mindset and willingness to use AI tools (e.g. ChatGPT, Copilot, Canva) to boost efficiency and collaboration.
