With Intelligence is seeking an experienced and motivated Office Coordinator to join our Sofia, Bulgaria office.

In this role, you will manage the daily operations of the office, ensure a productive and well-organised work environment while providing administrative support to the wider team. The ideal candidate is proactive, highly organised, and possesses excellent communication and leadership skills.

Responsibilities
• Office-based role working Monday to Friday
• Act as the primary point of contact for all incoming phone calls and emails, providing exemplary customer service to clients, customers and internal stakeholders.
• Engage with the WorkBetter team to register new joiners and offboard leavers, handle general admin tasks, book larger meeting rooms or office events, and request support with sending packages when needed.
• Coordinate and schedule meetings, lunches, appointments, and office-wide events in line with Global Offices.
• Support the local team with event admin support and initiatives to promote our brand and employee value proposition.
• Serve as the primary point of contact for visitors and external partners, representing the company in a professional manner.
• Admin support for the team, promoting a collaborative and efficient team environment.
• Maintain and update office files and confidential documentation with the utmost accuracy and discretion.
• Support the onboarding and offboarding process for new employees and ensure they are familiar with office procedures and policies working alongside IT services.
• Implement and coordinate with Office Management in London Office, compliance, office policies and procedures to improve overall operational efficiency.
• Maintain and update office seating plans in coordination with department leads, ensuringeffective use of workspace in line with business needs.

• Proven work experience in an office-co-coordinator or office support role
• Demonstrated experience with office management, administration, and/ or customer service
• Excellent communication, interpersonal and organisational skills
• Ability to multi-task and prioritise daily responsibilities in a fast-paced work environment.
• Must be able to work without supervision, as well as collaboratively in a team environment.
• Proficiency in Microsoft Office Suite and ability to lean new software as needed.

• Must be detail-oriented with strong problem-solving skills and the ability to take initiative.

Annual Leave
