About the Role

We are seeking a highly proactive, resourceful, and detail-oriented Executive Operations Assistant to be a central pillar of support for our leadership team and a driver of efficient business operations. This critical role acts as a connector across administrative, operational, and cultural functions, providing high-level, dedicated support to our key leaders and ensuring the seamless operation of our offices and team logistics. The ideal candidate is a seasoned professional capable of anticipating needs, autonomously driving projects, and serving as a trusted partner to senior leadership in a fast-paced environment. This position will report directly to the Executive Operations Manager.

What You'll Do

I. Strategic Leadership Partnership (Executive Support)

  • Serve as a dedicated and confidential administrative partner, providing high-priority scheduling and calendar management support for key functional leaders, including the Head of Operations and the General Counsel.
  • Provide comprehensive administrative partnership to 1-2 additional Directors on the team, owning their complex calendars and ensuring maximum efficiency for their leadership responsibilities.
  • Own and manage complex executive calendars, anticipating scheduling conflicts and prioritizing critical meetings to ensure alignment and smooth cross-functional collaboration.
  • Orchestrate all aspects of business travel for supported leaders, including detailed itineraries, booking flights/accommodations, and managing expense reporting.
  • Prepare essential documents, presentations, and meeting materials to ensure Directors are fully equipped for internal and external engagements, maintaining the highest level of professionalism and discretion.

II. Business & Office Operations Management

  • Take full ownership of day-to-day office logistics for both SF and NY offices, ensuring a productive and seamless work environment. This includes being an onsite lead 5 days/week.
  • Handle all aspects of office upkeep, including managing supplies, technical equipment inventory, and general maintenance.
  • Act as the primary liaison with building management for communications, maintenance requests, and coordinating office-wide events.
  • Vendor and Payment Operations: Oversee the onboarding of new vendors, manage relationships with key service providers (e.g., tech, supplies), and ensure the timely processing and financial tracking of all invoices, rent, and office-related expenses.

III. Employee Experience & Culture Coordination

  • Culture & Events: Proactively plan, organize, and execute high-impact internal events, including quarterly gatherings and large internal meetings. Collaborate directly with the Offsite Owner to manage all logistical and execution support for team offsites (e.g., vendor coordination, site logistics, materials management).
  • Act as the onsite lead for all office social events, ensuring execution aligns with broader employee engagement and culture-building goals.
  • Manage operational aspects of employee experience programs, including the coordination of employee gifting programs (birthdays, anniversaries, swag, well-being gestures).

IV. Project Management & Ad Hoc Initiatives

  • Proactively identify, lead, and execute a wide range of cross-functional and ad hoc projects, serving as the point person for various business needs from conception to completion.
  • Contribute to the strategic management and execution of operational systems and processes to improve team efficiency and scalability.

  • Communication: You have exceptional written and verbal communication skills with a professional, discreet, and client-service focused demeanor.
  • Tech Savvy: You are proficient in GSuite or Microsoft Office Suite, and can comfortably and quickly adapt to new business systems (e.g., expense tracking, vendor management).
  • Presence: You can be on-site in our San Francisco Bay office 5 days a week

  • 1 - 2 interviews specific to the day-to-day aspects of the role
