About Ottimate

Ottimate is an AI-powered AP [Accounts Payable] automation platform that empowers finance teams to reduce costs, prevent overpayments, detect fraud, and enforce policy compliance across the entire invoice-to-payment lifecycle.

The Role

We’re looking for a proactive and detail-oriented Senior Accountant or Accounting Manager to join our lean but high-performing Finance team. This role will primarily support core accounting operations while also taking ownership of our procurement and vendor management function to drive efficiencies and cost savings.

This is an exciting opportunity for someone who thrives in a fast-paced, scaling SaaS environment and wants to shape internal controls, streamline vendor engagement, and ensure accounting accuracy as we prepare for our first audit.

Key Responsibilities

Accounts Payable & T&E

  • Manage invoice processing, payment cycles, and vendor onboarding in QuickBooks and Spendflo replacement tools.
  • Support the rollout and enforcement of a T&E policy, including spend tracking, employee education, and policy compliance.
  • Collaborate with budget owners to ensure appropriate classification and approvals of spend.

Payroll Coordination

  • Partner with HR to ensure accurate and timely payroll processing, including regular pay runs, off-cycle payments, and bonus payouts.
  • Record payroll-related journal entries and ensure payroll reports reconcile to the general ledger.
  • Review compensation changes and deductions for accuracy and proper documentation.
  • Manage and monitor multi-state payroll tax registrations, filings, and compliance requirements.

General Ledger & Close

  • Prepare monthly journal entries, accruals, and balance sheet reconciliations.
  •  Assist in month-end and year-end financial close, ensuring deadlines are met and entries are accurate.
  • Support audit preparation through documentation, schedules, and policy review.

Tax Compliance

  • Liaise with external tax advisors to support sales tax compliance, including registration, filings, and VDAs.
  • Assist with 1099 processing, business license renewals, and tax audits as needed.

Procurement & Vendor Management

  • Serve as the primary point of contact for procurement across the organization.
  • Oversee the procurement intake process, ensuring alignment with internal policies and department budgets.
  • Evaluate, negotiate, and manage vendor contracts, with a focus on SaaS, marketing services and general business tools.
  • Track contract terms, renewal dates, and enforce procurement workflows for cross-functional compliance.
  • Establish vendor benchmarking practices and maintain procurement documentation for audit readiness.
  • Partner with Legal, IT, and department leads to ensure vendor onboarding and due diligence processes are followed.
  • Bachelor’s degree in Accounting, Finance, or a related field.
  • 4–7 years of progressive accounting experience, ideally in a SaaS or high-growth technology environment.
  • Proficient in QuickBooks Online (QBO); experience with tools like Maxio, Ramp, Expensify, or other procurement/spend platforms is a strong plus.
  • Demonstrated ability to manage vendor relationships and negotiate contracts, especially across software (SaaS), marketing, and indirect spend categories.
  • Solid understanding of GAAP, internal controls, and procurement best practices.
  • Experience with procurement operations, including vendor onboarding, contract workflows, and policy enforcement.
  • Strong Excel skills, including pivot tables, reconciliations, and journal entry preparation.
  • Excellent communication and cross-functional collaboration skills; able to partner effectively with Finance, Legal, HR, and business stakeholders.
  • Self-starter with high attention to detail, ownership mindset, and comfort operating in a remote, fast-paced, and scaling environment.
